Privacy Policy

1. Overview

This Privacy Policy explains what information Homeschool Owl (the "Service"), operated by Homeschool Owl ("we," "us," or "our"), collects when you use it, why we collect it, and how you can access, correct, or delete it. It should be read alongside our Terms of Service.

2. Information You Provide

When you create an account, you provide:

• Your email address and password (stored as a salted hash, never in plain text)
• Optionally, your full name and mailing address, if you generate a letter of intent

To use the Service's core features, you add information about your child or children: first name, grade, state, and optionally date of birth and current school. Only you (the parent or guardian who creates the account) enter this information — the Service is not directed at or used by children directly.

As you use the Service, you also generate instructional-day log entries (date, subject, minutes) and compliance documents, and if you subscribe, payment information handled entirely by our payment processor, Stripe — we never see or store your card number (see Section 4).

3. Information We Collect Automatically

We use Cloudflare Web Analytics for basic, privacy-friendly site analytics — it does not use cookies or track you across sites. Separately, the Service records a small set of product-usage events (e.g., that a state page was viewed, that a document was generated) tied to your account if you're logged in, used only to understand product usage, never sold or shared with advertisers.

Logging in sets an authentication cookie (HttpOnly, so it isn't readable by page scripts) that identifies your session. We don't use advertising or cross-site tracking cookies.

4. How We Share Information

We don't sell your information. We share it only with:

• Stripe, to process payments if you subscribe — Stripe receives your payment details directly and has its own privacy policy.
• Cloudflare, our infrastructure provider — all data is stored on Cloudflare's platform (database, file storage, and the email service used to send you reminders).
• Anyone you choose to share a document link with — the Service lets you generate a secure link to one document (e.g., for a portfolio evaluator). Anyone with that link can view that single document, without needing an account. You control when links are created and who receives them.

We may also disclose information if required by law, or to protect the rights, safety, or property of Homeschool Owl or our users.

5. Children's Information

Homeschool Owl is a tool for parents and legal guardians to manage their own children's homeschool records — it is not a service directed at children, and children do not create accounts or interact with the Service directly. All information about a child is entered, controlled, and deletable by the parent or guardian who holds the account. If you have questions about how your child's information is handled, contact us using the details in Section 9.

6. Data Retention & Deletion

We retain your information for as long as your account is active. If your subscription lapses or you pause it, your data is retained (not deleted) so it's there if you come back. You can permanently delete your account at any time from the Account page — this immediately and permanently removes your account along with all associated children, log entries, and generated documents. This action cannot be undone.

7. Data Security

Passwords are stored as salted hashes, never in plain text. Authentication uses signed tokens delivered over HTTPS. Access to your children's records and documents requires authentication and is scoped to your account — we verify ownership on every request, not just at login. No method of storage or transmission is 100% secure, but we take reasonable measures to protect your information.

8. Your Choices

• Access & correction: you can view and edit your child's information, logs, and account details directly in the app at any time.
• Email preferences: deadline reminder emails can be turned off from the Account page.
• Deletion: delete your account at any time (Section 6).
• State-data corrections: if you spot an error in our state compliance information, you can submit a correction from any state page — this is reviewed by us, not auto-published, and an email is optional.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
